Automatically enabled when you configure Smartsheet permissions in your agent workflow.
What it does
- Find a sheet by name or in a workspace, and read its rows, columns and summary fields
- Add, update, move and delete rows, many in one call, and write cells such as status, % complete and hours
- Attach files and links to rows, and comment on them
- Read reports and dashboards, create a sheet from a template, and change columns, as the permission groups allow. Safety Controls below lists what Neo refuses and what always asks
- Keep Smartsheet project plans and Autotask projects in step on a schedule, with the Autotask project sync described below
Autotask project sync
A scheduled agent with Smartsheet and Autotask project permissions can sync the sheets in a workspace or folder you name with their Autotask projects. Each field has one owner, so the two sides never overwrite each other:- Each sheet is paired with its Autotask project through a summary field,
Autotask Project ID, and each row with its task or phase through a text column,Autotask ID. Neo fills both in when the names match exactly one record. - Neo creates an Autotask task or phase only for a row someone ticks in a checkbox column,
Create in Autotask, and clears the box after. - Neo never deletes anything on either side. Rows and tasks it cannot pair, and every change it could not make, go in the run’s report.
- Your agent’s instructions can rename the columns, change which side owns a field, or sync one way only.
Permission groups
Each group can be Disabled, Read Only or Read / Write. A read of a sheet or a report, and a search, can also return data the other groups cover, such as attachment details and comments, so a group that reads sheets or reports can return those too.
Safety Controls
These always ask a technician, whatever the profile:- Sharing a sheet, report, dashboard or workspace, or updating a share
- Publishing a sheet, report or dashboard
- Every change to Smartsheet users, their plans and seats, and groups, apart from a profile image
- Creating or updating a webhook
- Deleting a workspace or a folder, which deletes every sheet in it
