Neo connects to the Pax8 Partner API. With it connected, an agent can:
  • Read companies, contacts, subscriptions, orders, invoices and usage
  • Look up products, the price you pay per billing term, commitment terms and the details an order needs
  • Order a product a client does not hold yet, after a technician approves it
  • Add or remove seats on an existing subscription with Change License Seats

Connect Pax8

1

Create an API credential

In Pax8, open Integrations → Credentials and create an API credential. View it to copy the Client ID and Client Secret.
2

Save it in Neo

Open Integrations, select Pax8, enter the Client ID and Client Secret, and click Save.
3

Map each company

On the Companies page, open a company and add its Pax8 company ID under Marketplace Company IDs. Find the ID in the Pax8 portal on the company’s page. Agents use this ID for orders and cancellations, and each approval request names the Pax8 company.

What agents can do

Agents call Pax8 through the Vendor API tool, which is added when you give the agent Pax8 permissions in its settings. Each permission group has its own access level: The access profiles are Read Only, Helpdesk (every change asks a technician first) and IT Admin (no approval, except the two changes below). You can set approval per permission group.
A new order and a subscription cancellation always ask a technician for approval, in every profile. Pax8 bills you for an order, and Microsoft does not let you reduce or cancel an annual commitment after its first days.

Buying a product a client does not hold

  1. The agent finds the product, your price for the billing term, the commitment term and the provisioning details Pax8 needs.
  2. It asks a technician to approve the order. The request names the product, the quantity, the billing and commitment terms, the price and what the commitment allows, such as “seats cannot be reduced until the term ends”.
  3. After approval, it places the order with exactly those values.
  4. For a Microsoft product, once the new subscription is active and the licence shows in the client’s Microsoft 365 tenant, the agent assigns it if it has the M365 Licensing permission; otherwise it uses your licensing tool, such as CIPP, or hands the step to a technician.
When a company has order approval turned on in Pax8, the order waits there until someone approves it in Pax8.

Seat changes

To add or remove seats on a subscription the client already holds, the agent uses Change License Seats. It changes one subscription at a time and reads the new count back. The Vendor API tool refuses every subscription update, so a seat change made at the same time cannot overwrite it. Change a billing term in the Pax8 portal.
