# Smartsheet API

> Read and update your Smartsheet project plans, and keep them in step with Autotask projects, in an agent

<Info>
Automatically enabled when you configure Smartsheet permissions in your agent workflow.
</Info>

## What it does

* Find a sheet by name or in a workspace, and read its rows, columns and summary fields
* Add, update, move and delete rows, many in one call, and write cells such as status, % complete and hours
* Attach files and links to rows, and comment on them
* Read reports and dashboards, create a sheet from a template, and change columns, as the permission groups allow. Safety Controls below lists what Neo refuses and what always asks
* Keep Smartsheet project plans and Autotask projects in step on a schedule, with the Autotask project sync described below

Neo acts as the Smartsheet user who made the access token: it sees and changes only the sheets, reports, dashboards and workspaces that user is shared on, and users, groups and contacts as far as that user's organization rights reach. When that user is a System Admin, Neo can also list every sheet in your organization through Users, Groups & Contacts. Neo removes webhook shared secrets, tokens and published edit links from every answer.

## Autotask project sync

A scheduled agent with Smartsheet and Autotask project permissions can sync the sheets in a workspace or folder you name with their Autotask projects. Each field has one owner, so the two sides never overwrite each other:

| From Smartsheet to Autotask | From Autotask to Smartsheet |
| - | - |
| Task and phase names, start and end dates, the assigned person, and an estimated-hours column you name | Task status, % complete (100% while the task is Complete), and an hours-worked column you name |

* Each sheet is paired with its Autotask project through a summary field, `Autotask Project ID`, and each row with its task or phase through a text column, `Autotask ID`. Neo fills both in when the names match exactly one record.
* Neo creates an Autotask task or phase only for a row someone ticks in a checkbox column, `Create in Autotask`, and clears the box after.
* Neo never deletes anything on either side. Rows and tasks it cannot pair, and every change it could not make, go in the run's report.
* Your agent's instructions can rename the columns, change which side owns a field, or sync one way only.

## Permission groups

| Group | Covers |
| - | - |
| Rows, Cells & Sheet Summary | Listing and reading sheets, search, rows and cells, cell history and images, summary fields |
| Sheets, Columns & Automations | Creating, copying, moving, importing, renaming and deleting sheets, columns, automation rules, cross-sheet references |
| Attachments, Comments & Proofs | Files and links on sheets and rows, conversations and comments, proofs |
| Reports & Dashboards | Reports and dashboards |
| Workspaces & Folders | Workspaces, folders, Home and favorites |
| Sharing, Publishing & Email | Shares, publishing, sending a sheet, rows or a report by email, update requests |
| Users, Groups & Contacts | Users, their plans and seats, groups, contacts, and for a System Admin's token the list of every sheet in your Smartsheet organization |
| Webhooks & Events | Webhooks and the event feed |

Each group can be Disabled, Read Only or Read / Write. A read of a sheet or a report, and a search, can also return data the other groups cover, such as attachment details and comments, so a group that reads sheets or reports can return those too.

| Profile | What it does |
| - | - |
| Read Only | Reads every group, changes nothing |
| Helpdesk | Changes rows, cells, comments and attachments on its own; sheet and column changes ask a technician first; the other groups read only |
| IT Admin | Changes on its own, except sharing and email, which ask a technician first, and those Safety Controls lists |
| Full Automation | Every change with no approval, except those Safety Controls lists |

## Safety Controls

These always ask a technician, whatever the profile:

* Sharing a sheet, report, dashboard or workspace, or updating a share
* Publishing a sheet, report or dashboard
* Every change to Smartsheet users, their plans and seats, and groups, apart from a profile image
* Creating or updating a webhook
* Deleting a workspace or a folder, which deletes every sheet in it

Neo never exchanges an OAuth code for a token, never revokes its own token (that would end Neo's access), and never resets a webhook's shared secret.
